Your data stays yours

Noveu Werkplek runs on proven open-source infrastructure components and open protocols. You export the calendar (.ics) and documents (DOCX or PDF) yourself from the Werkplek; you collect invoices (PDF) in the customer portal and mail is accessible via IMAP (account password, or an app password with MFA). Our sub-processors are listed publicly at /juridisch/sub-verwerkers.

Noveu is designed for GDPR. Core processing takes place within the EU; you get a DPA (draft version) at /legal/dpa and our full sub-processor list is public at /juridisch/sub-verwerkers. No advertising models, no tracking pixels, no data monetisation.

Your data and backups are stored in Germany, in a Hetzner data centre in Falkenstein (the data centre holds an ISO 27001 certificate). At the edge of the network we use Cloudflare, Inc. (US) for DNS, CDN and DDoS protection, under the EU-US Data Privacy Framework and standard contractual clauses. Since 29 August 2026 the AI assistant uses Mistral (a French company; according to Mistral, that data is stored in the EU by default) for text generation; search runs on our own infrastructure in Falkenstein. The full sub-processor list is at /juridisch/sub-verwerkers.

You log in with one Noveu login for the portal and the workplace. MFA with an authenticator app (TOTP) or a passkey works right away: a second step is mandatory for administrators and every user can switch it on themselves. Logging in through the identity service of your own organisation, such as Microsoft Entra ID or Okta, is not yet available. That integration is planned as a module in the admin centre.

The search happens on our side: the search index of the assistant and the conversion of your question into a search vector (bge-m3) run on our own infrastructure in Falkenstein. All AI functions (the assistant, the mail helper, summaries, sheets and presentations) have their text written by Mistral AI, a French company; according to Mistral, that data is stored in the EU by default. For the assistant, Mistral receives your question, up to five earlier turns, the passages found with their source address and what the assistant looks up for you, such as emails, tickets and invoices; for the mail helper, the sender, subject and text of the email. Email addresses, phone numbers, IBANs, IP addresses, BSNs and web addresses in the text that start with http or https are replaced by placeholders beforehand. AI is off by default: Noveu turns AI on per organisation. In an organisation where AI is on, all members can use the assistant, guests cannot. There is not yet a switch for your organisation to turn AI on or off itself. We keep the AI providers we use fully transparent at /juridisch/sub-verwerkers. You pay a predictable rate without surprises.
